We are looking for a proactive Executive Assistant to support daily operations and ensure smooth coordination across the business. This role involves administrative support, scheduling, customer communication, and light assistance with social media and sales tasks. The ideal candidate will be organised, detail-oriented, and confident in managing multiple priorities.


Administrative & Operations Support

  • Manage calendars, including bookings, buffers, and contractor coordination
  • Send updates regarding reschedules or changes to appointments
  • Assist with invoicing and payment follow-ups
  • Support the use of job tracking and quoting software


Customer Communication

  • Send client emails at the start and completion of projects
  • Request and log client feedback and testimonials
  • Maintain a simple FAQ for consistent responses
  • Respond promptly and professionally to customer enquiries


Social Media & Marketing Support

  • Organise project photos, draft captions, and schedule posts
  • Monitor comments and messages, escalating when necessary
  • Track basic ad performance when campaigns are active


Sales & Lead Support

  • Maintain response templates for incoming enquiries
  • Keep lead trackers or CRM systems up to date
  • Report weekly on leads, quotes, and conversions
  • Set up automated replies for after-hours enquiries
  • Previous experience in an administrative, coordinator, or executive assistant role
  • Strong written and verbal communication skills in English
  • Excellent organisational skills and attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Proactive and solution-focused approach
  • Comfortable using CRM systems, scheduling tools, and business software
  • Tech-savvy and quick to learn new platforms
  • Able to work independently with minimal supervision
  • Available to work during AEST business hours
