Description

I.    GENERAL FUNCTION:

This position ensures implementation of Administrative functions related to security, ground maintenance and services.

 

II.   DUTIES AND RESPONSIBILITIES:

A.   SECURITY

1.   Oversees and monitors effectiveness of current manpower security systems through analysis of current practices and policies or incident reports and recommendation of new methods to improve efficiency and effectiveness of security system.

2.   Regularly coordinates with other departments to acquire feedback with regards to the general performance of existing Security personnel and prepares report as necessary.

3.   Ensures that internal mail distribution by security personnel is well coordinated and efficient.

4.   Regularly checks the CCTV and recommends immediate action, if necessary.

5.   Ensures that all cctv cameras are functioning and records of past videos are saved and secured properly for ready reference.

 

B.   GROUND MAINTENANCE

1.   Regularly monitors maintenance of surroundings to ensure that it remains clean, safe, secure and well maintained by establishing a maintenance calendar.

2.   Closely coordinates with service providers to ensure that beautification and gardening standards are met.

3.   Ensures cleanliness, sanitation and orderliness of surroundings by establishing guidelines and on the following:

a.   Pallet stocking, Empty drums and other scrap materials area

b.   General Office Areas, auditoriums, meeting rooms 

c.    Common Facilities such as Canteen, Parking Area/s, Recreation areas, pantry, koi pond

4.   Maintains standards of garbage disposal, coordinates scrap selling procedures and recommends guidelines as necessary.

5.   Monitors schedule of pest control services and ensures its effectiveness.

6.  Reports to Facilities management any concern related to plumbing repairs and maintenance.

 

C.   ADMIN SERVICES

1.   Monitors inventory and ensures sufficient supplies for admin services

2.  Management of Concessionaire

·        Ensures implementation of general cleanliness and hygiene standards in the canteen.

3. Housekeeping

·        Ensures orderliness and cleanliness of all offices, comfort rooms, meeting rooms, auditorium.

 

G.   OTHERS

1.   Establishes proper documentation and filing of Incident Reports related to administrative concerns.

2.   Takes action on received Incident Reports (IR) related to administrative functions and coordinates with other Departments in resolving concerns.

3.  Schedules, coordinates and implements the fire, earthquake and emergency drill.

4.  Heads the Emergency Response Team.

 


Requirements

  • Graduate of BS Architecture/BS Engineering
  • With at least 3 to 5 years work experience as Admin Officer
  • With Strong leadership skills, critical thinking and decision making skills
  • Adept with the Local and Labor Rules&Regulations
