JOB TITLE: Operations and Strategy Associate

REPORTS TO: Director of Global Operations (DOO) and COO

LOCATION: Remote

SCHEDULE: 8:30 AM – 5:30 PM EST (40 hours/week with 1-hour unpaid lunch)

COMPENSATION: $12-$14 per hour (compensation will be reviewed as role scope evolves)


This role combines executive support with strategic project leadership, offering the opportunity to drive operational excellence across HR, Data, Chat, Lead, and Client Relations. You'll serve as a trusted right-hand leader, empowered to make decisions, represent leadership, and ensure seamless execution of critical initiatives.


This position offers a unique opportunity to shape operational strategy while developing executive-level skills. You'll work directly with senior leadership, drive meaningful change across the organization, and build expertise in multiple functional areas. KEY RESPONSIBILITIES:

Executive Partnership & Strategic Support

  • Act as the primary liaison and strategic partner to the DGO and COO
  • Manage executive priorities and strategic briefings
  • Represent the DGO in cross-departmental meetings and leadership discussions
  • Ensure leadership focus remains on high-impact strategic initiatives


Operational Excellence

  • Monitor and drive the execution of initiatives across HR, Data, Chat, Lead, and Client Relations.
  • Identify operational inefficiencies and lead process improvement efforts
  • Collaborate with department heads to develop KPIs, dashboards, and reporting systems.
  • Create and maintain standard operating procedures (SOPs)


Strategic Project Management

  • Lead multi-departmental projects from conception to completion
  • Utilize project management tools (Asana, Notion, Google Workspace, Telegram) to maintain accountability
  • Coordinate cross-functional stakeholders to ensure timely delivery
  • Maintain comprehensive project documentation and progress tracking


Executive Communication

  • Draft high-quality executive communications, including memos, reports, and strategic updates
  • Synthesize departmental updates into executive-ready summaries
  • Monitor internal communications and escalate urgent matters appropriately
  • Maintain confidentiality and represent the organization professionally

 

Leadership Support

  • Provide guidance and accountability to department heads on behalf of the DGO
  • Champion company culture and operational standards
  • Facilitate leadership meetings and maintain action item accountability
  • Document progress against strategic objectives


SUCCESS METRICS:

  • Operational Continuity: successfully managing DGO functions independently, ensuring seamless operations in leadership's absence
  • Project Excellence: delivering key initiatives on time with minimal delays or miscommunication
  • Quality Standards: consistently producing executive-ready deliverables and comprehensive reporting
  • Cross-Functional Impact: Improving clarity, alignment, and cohesion across all supported departments



Requirements

  • 4+ years in operations, executive support, or project management roles
  • Proven experience in fast-paced and/or remote work environments
  • Track record of coordinating cross-functional teams and translating strategy into results
  • Background in operations management, executive support, data reporting, or client services is strongly preferred

  • Communication Excellence: exceptional written and verbal communication skills with executive-level polish
  • Technical Proficiency: advanced skills in Asana, Google Workspace, Telegram, Zoom, and Notion
  • Strategic Judgment: ability to make sound decisions with minimal oversight while maintaining strict confidentiality
