About The Role:
- Responsible for overseeing and maintaining accurate financial records, ensuring compliance with accounting standards, and providing timely financial reporting. The role involves processing transactions, reconciling accounts, managing invoicing and payments, and supporting various accounting functions in logistics and freight forwarding operations.
What you’ll be doing (DUTIES & RESPONSIBILITIES):
Financial Transactions and Recording:
- Maintain accurate and complete records of financial transactions related to logistics and freight forwarding activities.
- Post general ledger entries, ensure they are accurate, match company policies, and comply with accounting standards.
- Review and process incoming invoices, ensuring they match purchase orders and delivery receipts correctly.
- Process and record payments to suppliers, vendors, and subcontractors, ensuring timeliness and accuracy.
- Manage accounts payable and receivable, and ensure proper documentation and reconciliation of all transactions.
Reconciliation and Reporting:
- Perform monthly, quarterly, and annual reconciliation of general ledger accounts, including bank, accounts payable, accounts receivable, and intercompany accounts.
- Prepare monthly financial statements, including income statements, balance sheets, and cash flow statements.
- Prepare journal entries for accruals, depreciation, and other necessary adjustments.
- Ensure accurate and timely reporting of financial transactions, adhering to deadlines.
Freight and Logistics-specific Accounting:
- Manage freight cost allocations, ensuring that expenses are properly allocated to the correct projects, clients, or departments.
- Process customs duties, taxes, and freight-related costs, ensuring they align with contractual agreements.
- Track and verify freight invoicing, ensuring the proper application of rates, tariffs, and discounts.
- Review fuel surcharges, cargo insurance, and other related charges for accuracy.
Audit and Compliance:
- Assist in the preparation and coordination of audits by providing supporting documents and explanations for financial statements.
- Ensure that all accounting activities are compliant with the company’s policies, internal controls, and applicable regulations, such as VAT, international trade compliance, and other financial regulations.
- Support the development and implementation of new accounting procedures and processes to enhance efficiency and accuracy.
Budgeting and Forecasting Support:
- Assist the finance/accounting team in the preparation of annual budgets and forecasts by providing relevant financial data from logistics and freight operations.
- Monitor actual performance against budgeted figures and highlight discrepancies.
Documentation and Filing:
- Ensure all accounting records are accurately filed and securely stored in compliance with company policies and industry standards.
- Maintain clear documentation of financial transactions and accounting adjustments for future reference.
Coordination and Communication:
- Collaborate with the logistics and operations teams to understand and resolve discrepancies related to freight costs, client billing, and vendor payments.
- Coordinate with other departments, such as procurement, to ensure proper handling of cost-related information and expenses.
- Process ad hoc financial and operational reporting
- Perform other duties assigned
Requirements
What skills & experience you’ll bring to us (QUALIFICATIONS):
- Bachelor’s degree in Accounting, Finance, or related field
- Proven knowledge of Accounts payable and Accounts Receivable
- at least two to three (2-3) years or more experience in general accounting, preferably in the logistics, transportation, or freight forwarding industry
- Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle, and the like) and advanced Excel skills.
- Strong understanding of accounting principles and logistics industry practices.
- Excellent time, organizational, self-management skills and the ability to meet deadlines
- Strong attention to detail and accuracy in financial record-keeping.
- Excellent written and verbal communication skills.
- Strong Analytical Skills, excellent problem-solving, and decision-making skills
- CPA (Certified Public Accountant) or equivalent certification is an advantage.
- Knowledge of international accounting standards, VAT, and international trade regulations is preferred.
- Strong sense of responsibility; ability to work independently under minimal supervision
