Job Description:


OBJECTIVE: The Receptionist is the first point of contact for all client enquiries to the client The Receptionist is required to provide high quality customer service when greeting clients in person and over the phone.


The Receptionist will facilitate all aspects of customer service, ensuring the reception area is professionally maintained and clients are dealt with proficiently and to the utmost standards ensuring the corporate image is always maintained.


Responsibilities:


  • Answering high volume calls to service the 3 steams of our business
  • Building strong, friendly relationships with all internal and external stakeholders
  • General administrative tasks, eg drafting letters for the ATO, data entry into excel files
  • Provide Administration support to the Director and her PA as required
  • Post outgoing mail, organise couriers and accept deliveries
  • Photocopying, printing and binding of reports as required
  • Organising meeting rooms and bookings
  • Processing invoices when required using handi soft system
  • Maintaining –staff amenities
  • Data Entry:
  1. Proficient use of Microsoft Office Package
  2. Managing office – Maintenance ensuring all grocery, stationary and all other office supplies are ordered in a timely manner

Requirements

  • A Diploma or TAFE Certificate in Business Administration (will be preferred however not essential)
  • Computer literacy – fluent use of Microsoft office package (Outlook, word, excel, powerpoint)
  • Excellent communication skills both verbal and written
  • Attention to detail is essential as there will be regular correspondence letters drafted to clients and ATO
  • Proactive nature, to get the job done
  • Off the chart’s initiative, discretion & ability to maintain confidentiality
  • Demonstrated time management & efficiency
  • Suitability to working in a fast-paced, dynamic & changing office environment
  • Ability to work autonomously & at times with little guidance or instruction
  • Proven ability to remain calm & focused under pressure
