Position Overview

We are seeking an experienced and detail-oriented Virtual Assistant – Order Management Specialist to support our print and sign production operations. This role requires hands-on experience in a print shop or sign shop and fluency in English and Spanish (written and verbal) for clear communication with clients and vendors.

You will manage customer orders from start to finish, ensuring accuracy, timely processing, and professional client service. This is a fully remote position with a competitive hourly rate.

Key Responsibilities

• Handle customer orders from quotation to completion in a print and sign shop environment.
• Coordinate with vendors for pricing, materials, and production schedules.
• Enter and update order information accurately in internal systems.
• Communicate professionally with clients and vendors in English and Spanish.
• Review and verify design files and print-ready artwork.
• Track production timelines and follow up on order status.
• Maintain organized documentation of client interactions and order transactions.

Qualifications & Experience

• Required: Proven experience working in a print shop or sign shop environment.
• Strong background in customer service and order coordination.
• Familiarity with obtaining vendor quotes and managing purchase orders.
• Bilingual in English and Spanish (written and verbal) — required.
• Experience managing orders for vehicle graphics, wall graphics, acrylic signs, and other custom print products.
• Knowledge of Adobe Creative Suite (Illustrator, Photoshop, InDesign) is a plus.
• Strong understanding of art files, document setup, and print file preparation.
