We are looking for a highly organized, trustworthy, and detail-oriented Executive Secretary with Accounting and Bookkeeping experience to support the operations of three affiliated companies in the Philippines. The companies operate across the sectors of restaurant management, destination consultancy, aircraft leasing, and sporting goods import/distribution. This is a dual-role position that requires both executive-level administrative support and hands-on financial management.


Key Responsibilities:

Executive Secretary Duties:

• Manage the CEO/MD’s calendar, appointments, meetings, and travel arrangements.

• Screen and prioritize emails, calls, and requests, ensuring timely follow-up.

• Draft, proofread, and manage internal and external correspondence.

• Prepare reports, presentations, and meeting documents.

• Organize and record minutes of meetings, and follow through on action items.

• Coordinate with various departments across the three companies.

• Maintain confidentiality of sensitive company and executive information.


Accounting & Bookkeeping Duties:

• Perform daily bookkeeping tasks: journal entries, bank reconciliations, and financial data entry.

• Maintain and update ledgers, records, and financial statements for each company.

• Handle accounts payable/receivable and ensure timely billing and collections.

• Monitor cash flow, petty cash, and prepare financial summaries as required.

• Assist in monthly, quarterly, and annual closing procedures.

• Coordinate with external accountants or auditors during reporting and compliance periods.

• Manage government filing requirements (BIR, VAT, taxes) and liaise with regulatory bodies.

• Bachelor’s degree in Accountancy, Business Administration, or a related field.

• At least 3–5 years of combined experience in executive secretarial support and accounting/bookkeeping.

• Strong knowledge of Philippine tax laws and BIR processes.

• Proficient in QuickBooks, Xero, or other accounting software.

• High proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).

• Exceptional organizational, multitasking, and communication skills.

• Strong attention to detail and confidentiality.

• Experience working in multi-business environments is highly preferred. Preferred Attributes:

• Ability to adapt across industries and handle varying workflows.

• Trustworthy and able to handle sensitive financial and executive-level information.

• Fast learner, resourceful, and able to work with minimal supervision.

• Familiarity with import documentation, permits, and regulatory requirements is a plus.
