Responsibilities:

This position, based in the Philippines, is primarily responsible taking care of tasks related to Finance, HR, and General Admin. You will be in charge of the Finance and Admin Department. Responsibilities include the following:


Finance:

  • Oversee operations of the finance department, including setting goals and objectives, budgeting, reporting, team management and reviewing of existing policies.
  • Manage the preparation of the company’s budget, documentation of the company’s financial status, and forecasts.
  • Record entries into accounting system & keeping track of revenue to match to cost of sales
  • Generate month end financial statements
  • Maintain the financial health of the organization; via cashflow planning & forecast.
  • Monitor and assist our finance officers in payments to third-party suppliers such as influencers, agencies, and other partners.
  • Monitor and assist our HR officer with the monthly payroll for employees
  • Monitor and assist our finance officers in billing of clients and collection of account receivables.
  • Facilitate submission and filing of corporate taxes and permits.
  • Manage and maintain accurate records of petty cash requests, withdrawals, and deposits.
  • Keep track of debtors & sales listings
  • Keep track of commissions, bonuses, and incentives for the sales team.
  • Identify and assist in resolving invoicing issues, accounting discrepancies and other financial related problems.
  • Liaise with third party such as Auditors and Consultants.


HR:

  • Work with the HR Officer in monitoring and implementing the following:
  • Organize all necessities for employee recruitment and onboarding.
  • Keep track and manage employee benefits such as, but not limited to, leaves, Medicard, and incentives.
  • Oversee internal company activities such as, but not limited to town halls, gatherings, and team building.
  • Prepare letters such as references, recommendations, terminations, promotions, etc.


General Admin:

  • Oversee the Finance and Admin team with the management and maintenance of the Clozette Studio and Virtual Office.
  • Arrange booking of resources and suppliers for company activities such as company lunches and official business trips.
  • Inventory - keep track and maintain all office assets such as laptops, mobile phones, etc.


Requirements:

  • Proven work experience as an Admin and Finance Manager or similar role.
  • Advanced knowledge of various programs such as Quickbooks, MS Excel, MS PowerPoint, and MS Word.
  • Good understanding of bookkeeping procedures
  • Time-management and organization skills
  • Commitment to confidentiality
  • Candidates with prior experience in working with influencer agencies, content marketing and/or digital publishers are preferred.
